HotelOps

Hotel operations with a name on every check.

HotelOps replaces the binders and clipboards at the front desk, in housekeeping and in maintenance. Every checklist, room and repair carries a name, a time and a manager's sign-off.

Keep your PMS. HotelOps is not a property management system. It reads the reports yours already prints, so there is nothing to integrate.

A sample night at a demo hotel.

Every seat in the hotel gets its day back.

We run hotels, and we built this for the problems we kept having at ours.

Housekeepers

A sheet of rooms in the morning, a rush added at noon, and the blame for whatever could not be finished.

A clear day on their own phone, in English and Spanish. Every room shows the minutes it allows, and a room that can't be serviced is recorded with its reason.

Housekeeping managers

The desk says vacant, the floor says occupied, and nobody can say which rooms are ready.

Photograph the morning report and the boards are drafted for you. Assign from one page, inspect from the floor, and the desk sees each room turn ready.

The front desk

The last shift went home and what they knew went with them. The guest explains it a second time.

A pass-on log that is never cleared and a handover that carries a note. A request nobody picks up is chased until someone takes it, starting with the department's manager.

Maintenance

Orders on scraps of paper, and preventive maintenance that waits until something breaks.

Work orders in the order you walk the building, room maintenance on a rotation with your own checklist, and every asset's readings and certificates in one place.

General managers

Reports built by hand, and no way to tell a checklist that was done from one signed at the end of the shift.

Today opens on what needs you. Every shift carries a manager's verification, and every number shows where it came from.

Above the hotel

Every hotel keeps its records its own way, so comparing them means asking each general manager.

One sign-in opens every hotel you hold a role at, and you switch between them from the bar. A company console sets up each hotel, its staff and their roles, and a hotel stays closed to anyone without a role there.

Accountability you can prove.

A binder can be initialled at the end of the shift. Here every tick carries its own time, so when an owner, a brand inspector or a guest asks what happened, the answer is already written: who did it, when, and who checked.

  • A check is a button a named person pressed.

Opening a page records nothing. Every tick, claim and acknowledgement is pressed under a sign-in.

  • Nothing is cleared.

The shift log and the trail are only ever added to. Nobody at the hotel can edit or delete a line.

  • Anything flagged closes with a note.

"Needs attention" goes away only when someone writes what was done about it.

A sample trail from a demo hotel.

From the morning report to a signed-off day.

It starts with the paper your PMS already prints. There is nothing to install: it runs in the browser on the desk's PC and the phones your staff already carry.

  1. Photograph the report

The app reads it into draft boards.

  2. Check and assign

The manager fixes any misread and gives the rooms out.

  3. Clean, room by room

Start, the checklist, Done, on the housekeeper's phone.

  4. Inspect

Pass the room, or send it back with the reason.

  5. Sign off the day

The report is kept exactly as it was signed.

Privacy is built into how it works.

You need a record of the work, not a file on your guests.

  • A guest's words leave at close

The name and note on a call, a complaint or a request are removed when it closes. The trail keeps a reference.

  • A scan is read, then deleted

The app keeps the figures it needs by folio and room, unless the hotel chooses to keep scans.

  • Every look at a guest paper is recorded

Opening a ledger or a card report leaves a line: who, and when.

  • Access is per person, per hotel

A role belongs to one hotel and one department, and an idle sign-in ends after thirty minutes.
